Manage

The operating layer under everything you sell

Customers, products, stock, expenses, projects, staff and the books in one place, updated by the work itself. When month end arrives the record already exists, because nobody had to build it separately.

Why it matters

Most businesses do not lack data. They lack one version of it.

Sales sit in one place, stock in another, spend in a third, and a spreadsheet holds the three together. Every seam is somewhere a number can go wrong, and the month end is where you find out which one did.

One set of records, not seven

Customers, products, stock, expenses, projects and staff share the same data. A sale updates the customer, the stock and the books at once, because they were built as one thing rather than integrated afterwards.

The record writes itself

Any system that relies on somebody diligently filling it in will drift within a month. Here the record is created by the work: selling, paying and receiving are what produce it.

A picture you can act on

Margin, stock at risk, what you are owed and which jobs are over budget, current rather than assembled at month end when it is too late to change any of it.

How it works

Four steps, and the last one is reading, not building

01

Bring the business in

Import customers and products, or let them build up as you trade. There is no configuration project and nothing to model in advance.

02

Sell and spend as normal

Take payments, raise invoices, buy stock, pay staff. You are not doing data entry, you are running the business.

03

Watch the records fill in

Every transaction lands against the customer, the product, the project or the category it belongs to, with the evidence attached.

04

Close the month by reading it

The books are already written. Month end becomes a review of a handful of exceptions rather than a reconstruction from receipts.

Where it comes from

The books are a by-product, not a project

A sale at the counter, a settled invoice, an approved expense and a payroll run are all accounting entries wearing different clothes. When the system that takes the money is the system that keeps the books, there is nothing left to transfer between them.

  • Sales, payments and expenses post as they happen
  • Reconciliation reduced to a short exception list
  • A profit and loss that is current, not a month behind

In practice

Built for a business with more than one of everything

More than one outlet, more than one price list, more than one person who needs different access. Most software treats that as an upgrade. Here it is the ordinary case, because it is what growing usually looks like.

  • Stock, takings and staff by outlet, compared side by side
  • Trade and retail pricing on the same product
  • Permissions per role, per location

Business owner working through the day's records
The idea behind it

Any record that depends on somebody remembering will eventually be wrong.

So we built the system so the record is a by-product of the work rather than a second job alongside it. Nobody has to be disciplined for the books to be right.

Pricing

Priced on money moving, not on how many people use it

Every area of Manage is included in the same account. There is no module to unlock, no charge per staff member and no minimum term, so growing the team never changes the bill.

  • All seven areas included
  • Unlimited staff accounts
  • Volume rates as the business grows

Questions

Frequently asked questions

If your question is not here, the Help Centre goes deeper, or you can talk to someone on the team.

What does Manage actually cover?

Seven areas of day to day operations: customers, products, inventory, expenses, bookkeeping, projects and staff. They are not separate modules with an integration between them. They read and write the same records, which is why a counter sale can update stock, the customer's history and the books in one action.

Do I have to use all of it?

No. Most businesses start with the two or three areas that hurt most, usually inventory and bookkeeping, and switch the others on later. Nothing needs to be installed and there is no separate contract when you add an area.

Can I import my existing customers and products?

Yes. Both can be uploaded from a spreadsheet, and products can carry their variants, cost prices and stock levels in the same upload. If you would rather start clean, records also build up on their own as you trade.

Does this replace my accountant?

No, and it is not meant to. It removes the part your accountant charges you the most for, which is assembling and correcting records after the fact. They get a clean, current set of books and can spend the time on advice instead of data entry.

How does this work with more than one outlet?

Each outlet has its own stock levels, tills, staff and shift reports, and all of them roll into one view. You can compare locations directly rather than collecting figures from each one and reconciling them yourself.

Is there a limit on staff accounts?

No, and adding staff does not change the price. Charging per user pushes businesses to share logins, which destroys the audit trail, so Niimbu is priced on money moving instead.

What if I already use accounting software?

You can keep it and export from Niimbu, but you will still be maintaining two systems and reconciling them. The advantage here comes from the operational records and the accounting records being the same records rather than two views that need to be kept in step.
